BKM Nonprofit Zrt. (Budapest Utilities) is a state-owned company responsible for the development and maintenance of public utility services in Budapest. Its main tasks include water, wastewater, and stormwater management, as well as the maintenance and modernization of the utility network. BKM aims to promote sustainable urban development and ensure high-quality services for residents. By applying innovative solutions, it contributes to the achievement of the capital's environmental and economic goals.

Project General Description

The introduction of the Master Data Management framework - Article Number Pre-system linked to the BKM SAP system. The SAP system implemented at BKM organizes the control and descriptive master data of product, service, and equipment article numbers into different views within the Material Master. This ensures the availability of constant and control data, not only for basic data but also for sales, procurement, accounting, inventory management, and even quality management.

Challenge

The client requires the development of a system that enables users to quickly provide data necessary for article operations, supported by field-level definitions. The parallel assignment of tasks will be implemented using a workflow system, which ensures that responsible parties receive email notifications about incoming tasks. Thanks to the workflow support, the possibility of errors decreases, processes speed up, and optimized task distribution is achieved.

Maintenance staff always have accurate information, while requesters receive correct feedback. The system guides users step-by-step, ensuring no administrative activities are missed, and processes remain traceable for future reference.

Additionally, an interface connection with the SAP system must be established, enabling quick, free-text article searches and checks. The system automatically executes the complex validations defined in SAP, preventing the saving of incorrect data.

  • Apache SolR was utilized to enable fast text searches and task basket search functions, reducing the load on the CER database.

  • Individual and group task baskets, task counters, and customizable task basket lists ensure transparency in workflow management.
  • Customizable Process Screens
  • Process screens can be customized by role and step, mirroring the SAP views.
  • Process History
  • A full 360° process history is available, documenting processes, data, files, and comments, with rollback capabilities.
  • Email Notifications
  • Automatic email notifications for new tasks assist in tracking workflows.
