Why do you need the CER - Item Master Data management framework?

  • In the SAP ERP system, the internal operation is often controlled by the settings of the items (pricing, purchasing, storage, quality, usage, production, accounting, etc. parameters).
  • Items have many (up to >200) parameters to set, which require many different expertise/experts within the company to set.
  • Communication between those involved in the creation of the items is mostly done by email, so setting the parameters of the items is time-consuming and slow in terms of working hours.
  • The tasks related to the creation of the items, the forwarding of requests by email/notifications/following the status of tasks represent a significant additional burden for colleagues.
  • The CER system developed by Omnit Solutions answers exactly these SAP item master data problems on the basis of process management.

The main features of the CER system

  • A system operating regulated by pre-planned BPMN processes, which makes it possible to automatically branch, step back or even parallelize processes, and guides the employees involved in the process step by step through the steps related to SAP item master operations (creation, modification, locking, deletion, etc.) to do.
  • Supports that item process types can be designed and created as desired, for which individual item data content can be set. The data content of the item accompanies the entire life cycle of the process. The BPMN process engine starts and carries out a process corresponding to the item type.
  • In a user-friendly way, it enables, among other things, a quick, even multi-word, free text search and check of articles (e.g. "iron steel wire"), so users can simply and quickly check whether the item already exists without logging into the SAP system before creating an item or they can view the settings of an existing item.
  • The location, grouping, and sequence of the fields for each task are precisely and separately designed so that all important information for the user in terms of performing the tasks and filling in the data is available there, and it is clear to the user that what to fill in Users receive prompt help with the filling in of short descriptions and tooltips related to the fields. Thus, users can complete a task in a significantly shorter time. In this way, the execution time of individual tasks and thus the workload of employees and the turnaround time of processes can be drastically reduced.
  • The users participating in the process receive the tasks through individual and group NEW task baskets, tasks that have already been started are placed in the IN PROGRESS basket, so that no tasks are forgotten, users know exactly what new and already started tasks they have, with the help of the COMPLETED basket they can check back their completed tasks.
  • It is possible to observe processes, thereby ensuring the traceability of the process for users. With the help of this, for example, the person requesting an item number can easily follow where and with whom the requested item is in the process.
  • It is possible to set whether users receive email notifications about incoming tasks. When the item is created, the applicant receives an email notification.
  • All previous requests and processes can be retrieved, and all performed actions and modifications are logged in detail and can be viewed on the process details screen.
  • There is a two-way synchronization between CER and SAP. The item data and dictionary data are synchronized at night in the SAP->CER direction. In the CER, users fill in dictionary data corresponding to the SAP data content. Changes to the articles go in the CER->SAP direction.
  • During the execution of the tasks in the CER, when filling in the item field data (data recording/modification), the complex checks also defined on the SAP side are run locally on the CER side when the CER fields are filled in, so the user is informed when filling in if something is not right filled in, and the system does not allow the wrong data to be saved and the process to continue. In this way, only data that is checked in relation to SAP is entered into the interfaces.

The system supports the statistical analyzes required for the measurement and further optimization of processes with process-level and more detailed task-level reports. In addition, with the help of KPIs, managers can also get an accurate picture of the performance of individual roles, for example, and possible problems and bottlenecks can be identified. In this way, management reports promote the improvement and optimization of the division of labor in the organization.
